Privacy Policy

Effective date: July1st, 2026 | Website: https://prounionorthopedics.ca

ProUnion Orthopedics & Ergonomics / 1001574334 ONTARIO Inc. (“we,” “us,” or “our”) respects the privacy of customers and website visitors. This policy explains how we collect, use, disclose, safeguard, retain and dispose of personal information in connection with our in-person orthopedic and ergonomic products and services, customer inquiries, and insurance-claim assistance.

1. Information We Collect

Depending on the service requested, we may collect your name, contact details, purchase and service information, relevant health or prescription details, insurance plan information and supporting documents. Where reasonably necessary for identification or a claim, we may inspect identification or collect a limited copy of an identification document. We may also receive information you voluntarily provide through our website, telephone, email, or social-media inquiries. We seek to avoid collecting information that is not needed for the stated purpose.

2. Why We Collect and Use Information

We use information to respond to inquiries; assess product or service needs; prepare orders and receipts; verify eligibility or assist with insurance claims where authorized; communicate with insurers, benefit administrators or health professionals when necessary and permitted; maintain business, tax and service records; and meet applicable legal obligations. We do not use medical records, identification copies or insurance documents to target advertising.

3. Consent and Your Choices

We explain the purposes for collecting sensitive information and seek express consent where appropriate, including through a separate customer consent form at check-in. You may ask questions, limit optional disclosures, or withdraw consent subject to legal or contractual restrictions and reasonable notice. Withdrawal may affect our ability to assist with a claim or provide a requested service. Marketing communications, where offered, require a separate choice and are not a condition of service.

4. When We Share Information

We share only information reasonably necessary for the authorized purpose, which may include insurers, benefits administrators, relevant healthcare providers, and service providers that support our operations under appropriate confidentiality protections. We may disclose information when required or permitted by law. We do not sell or rent customers’ personal, medical, insurance or identification information.

5. Information Security and Confidentiality

We may maintain customer records in both physical paper files and electronic systems, including documents relating to identification, prescriptions, insurance verification, claims assistance and transactions. We apply reasonable safeguards appropriate to the sensitivity of the information, such as limiting access to personnel who need it, keeping paper files in controlled storage, and using access restrictions for electronic records. We seek to protect records against unauthorized access, loss, misuse or disclosure. No method of storage or transmission can be guaranteed completely secure.

6. Information Retention and Disposal

We retain paper and electronic records only for as long as reasonably necessary to fulfill the purposes described in this policy and to satisfy applicable legal, accounting, insurance, dispute-resolution or regulatory requirements. Retention periods depend on the type of record and applicable obligations. When records are no longer required, we take reasonable steps to securely shred or otherwise destroy paper documents and securely delete or de-identify electronic records. Requests for deletion are assessed subject to lawful recordkeeping obligations.

7. Website, Advertising and Third-Party Platforms

Our website and social-media pages may link to services operated by third parties, including Meta platforms. Those platforms have their own privacy practices. If you submit an inquiry through a social-media advertisement or lead form, we use the information to respond to your request. Please do not send identification copies, prescriptions or insurance documents through public comments or social-media messages; contact us for an appropriate way to provide sensitive records. We do not operate an online checkout on our website.

8. Access, Correction and Privacy Requests

You may request access to personal information we hold about you, ask for corrections, or inquire about our privacy practices. We may need to verify your identity before responding and may be subject to legal exceptions. Please contact us using the details below.

9. Privacy Incidents

If a privacy incident occurs, we will assess it and take appropriate steps, including notification or reporting when required by applicable law.

10. Changes to This Policy

We may update this policy as our practices or legal requirements change. The updated policy will show its effective date on our website.
